The Situation
Diplomat Specialty Pharmacy (DSP) had developed unique patient support processes (including over 80 specific patient touch-points) that significantly improved their patients' outcomes. However, they faced some major challenges:
- No way to ensure the timing and quality of the patient touch-points.
- They were buried in hard-copy paper documents.
- They had limited ability to meet their complex reporting requirements.to insurance and pharmaceutical companies.
- They had business opportunities that required them to change to an electronic based patient care system within 4 months.
- An e-based system solution to address their patient care process needs would need to be web based and also be integrated with their oracle pharmacy database (running on Linux) as well as several other downstream systems and applications
The Solution
Spud Software designed a system architecture that would integrate DSP’s pharmacy system, the new Patient care system, their accounting system, UPS’s system, and several other downstream applications.
Spud Software also performed detailed patient care process analysis, document the company's process steps, and translated them into a standardized, automated patient care system.
- Activity is displayed on workload dashboards that are specific to each user, ensuring that all key processes and clinical steps are completed on time, every time for each patient.
- Hard copy documents were translated to eForms for efficiency.
- Autofilled, electronic fax forms were built into the system.
- Integrated packing slip creation was built in to consolidate shipments of medicines and educational
materials.
- Integrated Databases capture and store all key patient and process data to automate reporting.
The Results
Spud Software delivered phase 1 of the system in 4 months.
The company's patient volumes increased over 200% within 6 months of launching the software and offering the e-based service to health insurance companies and physicians.
Shipping costs were reduced by 25%.
Hardcopy document storage was reduced by a 25:1 ratio.
